Assistrio ("Assistrio", "we", "us") is operated by Assistrio. This Privacy Policy explains how we collect, use, and share personal information when you visit our website, create an account, or use our hosted AI support agent platform.

Depending on how you interact with Assistrio, we may collect the following categories of information:

• Contact form details — name, email, message, and related metadata when you reach out through our marketing site.
• Account and workspace details — name, email, authentication identifiers, workspace membership, roles, and configuration settings.
• Chat and conversation data — messages between end visitors and your AI agents, conversation metadata, and support-related logs you choose to retain in the product.
• Knowledge base content — documents, URLs, text, and other materials you or your team upload to train agents.
• Usage analytics — product usage events, feature interactions, and aggregated performance metrics to operate and improve the service.
• Payment and subscription data — plan, billing period, invoices, and payment status. Card and bank details are handled by our payment processor, not stored directly by Assistrio in full.
• Technical data — browser type, device information, IP address, cookies, and similar signals used for security, diagnostics, and basic analytics.

We use personal information to:

• Provide, maintain, and secure the Assistrio platform and website.
• Operate AI support agents, including retrieving knowledge and generating responses.
• Improve product quality, reliability, and customer support.
• Process subscriptions, renewals, add-ons, and AI credit purchases through payment providers.
• Detect, prevent, and investigate abuse, fraud, and unauthorized access.
• Comply with legal obligations and enforce our Terms and policies.
• Communicate with you about your account, billing, and service updates.
• Understand and improve our marketing website — including traffic, acquisition, engagement, and campaign performance — when you allow optional analytics cookies.

We use cookies to operate and improve Assistrio, understand how our services are used, and support website features.

You can accept or reject cookies through our cookie controls. You can change your cookie preference at any time using Change cookies.

Optional cookies and similar technologies support analytics on our marketing site — including Google Analytics and PostHog — when you have not rejected optional tracking. If you reject optional tracking from the start, our website implementation does not load Google Analytics, and other optional analytics tools we gate through the same preference are not enabled.

Rejecting cookies may limit optional analytics (including Google Analytics on our marketing site and PostHog session replay), but it does not prevent you from using our chat functionality.

You control what content you upload to knowledge bases and what conversations occur through your agents. You are responsible for ensuring you have the right to use that content and that it complies with applicable law and your own policies.

• Chat and visitor messages may be processed by AI systems to generate responses, summaries, and analytics you enable.
• Do not upload highly sensitive personal data (such as health, financial account, or government ID data) unless you have a lawful basis and appropriate safeguards.
• AI outputs may be inaccurate. You should review important answers before relying on them.

We use trusted service providers to run Assistrio. They process data on our instructions and under contractual safeguards. Categories may include:

• Hosting and infrastructure providers.
• Database and object storage providers.
• AI model and inference providers used to power agent responses.
• Payment processors for subscriptions, add-ons, and credit top-ups.
• Email and transactional messaging providers.
• Analytics and monitoring tools, when you allow optional cookies — including Google Analytics 4 (Google LLC) for marketing-site traffic, acquisition, campaign attribution, and engagement measurement; and PostHog for optional product analytics and session replay on our website.

When optional analytics are enabled on our marketing site, Google Analytics may collect or process information such as pages viewed, approximate location derived from IP address (we enable IP anonymization in our Google Analytics configuration), browser and device characteristics, session and engagement signals, referrer information, and campaign or click attribution parameters (such as UTM tags or Google click identifiers when they appear in the page URL). Google may also use cookies or similar technologies according to its own rules and our configuration.

We use Google Analytics to understand how visitors find and use our marketing site. We do not intentionally configure our Google Analytics events to include your name, email address, Assistrio account or user identifiers, workspace names, chat or conversation content, contact-form message or field content, or other information you submit through forms. For example, we may record that a contact form was submitted successfully without sending the contents of your message to Google Analytics.

We do not currently use this Google Analytics integration for Google Ads remarketing, advertising personalization, or Google Signals. Advertising-related storage categories in Google's consent framework remain disabled in our current setup.

Google LLC provides Google Analytics and processes information it receives according to Google's terms and privacy policies. Google's own processing may involve personal data or online identifiers as defined under applicable law. For more information, see Google's Privacy Policy.

Each provider's handling of data is governed by their policies and our agreements with them. We do not sell your personal information as a standalone product.

We retain information for as long as needed to provide the service, meet legal requirements, resolve disputes, and enforce agreements. Retention periods may differ by data type — for example, billing records may be kept longer than marketing analytics.

When you delete content or close an account, we may retain limited backups or logs for a reasonable period for security, fraud prevention, and compliance before deletion or anonymization where feasible.

We implement administrative, technical, and organizational measures designed to protect personal information, including access controls, encryption in transit where supported, and monitoring for abuse. No method of transmission or storage is completely secure.

Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal information, or to receive a portable copy. You may also withdraw consent where processing is consent-based.

To exercise rights or ask questions, contact support@assistrio.com. We may need to verify your identity before responding. You may also have the right to lodge a complaint with a supervisory authority in your region.

Assistrio is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us data, contact us and we will take appropriate steps to delete it.

We may process and store information in countries other than where you live. When we transfer data internationally, we use appropriate safeguards such as standard contractual clauses or equivalent mechanisms where required by law.

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the "Last updated" date (October 2, 2026 or later). Material changes may be communicated by email or in-product notice where appropriate.
